  • Who enters case information?
    The site administrators and Superusers would normally do this
  • How are lists of list of doctors maintained?
    This can be done manually or uploaded using Google sheets or Excel
  • Who manages the list of users and permissions?
    The site administrators would normally do this
  • Where is the database kept?
    Data is stored on multiple servers in different locations so a fire or computer failure cannot result in a loss of data
  • How secure is the data?
    The data is encrypted on the server and during transit with the same methods used by banks
  • Is there a backup for the database?
    Multiple backups are created, including recent and archived versions. Backups are kept in multiple locations to protect against physical loss. Manual backups can also be created and downloaded.
  • What is the risk of a HIPAA violation?
    CaseMap stores and organizes information about how cases are managed. There should never be any information in CaseMap that refers to specific patients so the HIPAA rules are not applicable.
  • Isn't there a risk that some information in CaseMap isn't correct?
    The error rate using this system is far less than the usual system of random notes, memory etc.. Users should always confirm their actions with the surgeon or other personnel. If errors are found, or changes are made, CaseMap can be easily updated, so all users are looking at the same information.
  • Do we lose the data if we stop using the service?
    No, you can download all the data in a standard .csv format that can be easily used by other databases and Excel.
